🌟 About the Role
Working closely with the Federation Business Director, you will support the day-to-day running of our finance, HR and administrative functions. This varied role combines procurement, finance processing, safer recruitment administration and general school office support, helping to ensure our systems are efficient, compliant and well organised.
As part of our small but busy administration team, you will also support the Senior Administrator with the daily operation of the school office, including responding to enquiries, maintaining records, supporting pupil administration and providing a welcoming first point of contact for visitors, parents and staff.
You will be a trusted member of a supportive team, someone who brings positivity, professionalism and a willingness to learn.


📌 Key Responsibilities
• Procurement support - raising purchase orders, liaising with suppliers and ensuring best value.
• Invoice processing - coding, checking and processing invoices accurately and on time.
• Card reconciliation - supporting card holders and ensuring monthly reconciliations are completed.
• Stakeholder communication - responding to queries from staff, parents, suppliers and external partners.
• HR administration - supporting safer recruitment processes, carrying out pre-employment checks and maintaining accurate HR records.
• School office administration - providing administrative support for the day-to-day running of the school office, including managing emails, handling telephone enquiries and greeting visitors.
• Pupil administration - maintaining accurate pupil records, supporting admissions and attendance processes, and assisting with data entry and reporting as required.
• Record management - maintaining accurate electronic and paper-based filing systems in line with GDPR and school policies.
• General administrative support - preparing letters, documents and communications, organising meetings and assisting with school events and administrative projects.
• General finance tasks - assisting with routine processes and ad hoc projects as required.

🎯 Person Specification
We are looking for someone who is:
• Experienced in finance, administration or procurement processes; knowledge of the BW system would be advantageous.
• Highly organised with strong attention to detail.
• Confident using IT systems, including Excel, Microsoft Office and finance/MIS platforms.
• Able to manage competing priorities in a busy school office environment.
• A clear, professional communicator who can build positive relationships with staff, parents, pupils and external agencies.
• Discreet, trustworthy and able to handle sensitive financial, HR and pupil information.
• Friendly, approachable and committed to providing excellent customer service.
• A team player with a proactive, can-do attitude and willingness to learn.


💼 Terms & How to Apply
• Hours: 37 hours per week (term time only)
• Contract: Permanent
• Salary: G3 £25,614 - £26,847 – Actual salary (£21,905 - £22,960)
• DBS: Appointment subject to safer recruitment checks and DBS clearance.
